The initial situation

Is the signing of safety instructions to protect the health of your employees, to ensure safety in the workplace and to educate hauliers about the safe transport of goods an important issue in your company?

Do you want to replace the existing paper-based signature process with a digital signature process that is seamlessly integrated into your SAP application? With the aim of documenting the process seamlessly, legally compliant and cost-optimised?

- Digital signature

Changed requirements

The top priority - especially in manufacturing companies and those dealing with hazardous substances - is to guarantee the health of employees, safety in the workplace and the safe and hazard-free transport of goods.

Accidents and health hazards are usually caused by human error. The only effective measures against this are regular safety briefings. The responsibility for this lies with the employer or management.

Safety training therefore minimises risks, improves employee health and increases occupational safety.

In order to rule out legal consequences for the company and employees, these instructions - on updating and refreshing topics and content - must be meticulously documented and also confirmed by the signature of the instructed person.

This is a classic use case for the digital mapping of safety instructions, including the electronic capture of signatures on a signature pad.

Solution

Simple application - flexibly configurable

At those workstations where security instructions are to be signed, the Windows-based application, the e-Sign Agent, must be installed and is started directly from the relevant SAP® application and displays the security instruction in PDF format on the screen. A corresponding signature pad is connected via USB or optionally directly in the network. If required, the signatory can read the document directly on the screen or on the display of the signature pad and then affix their signature using a pen on the pad.

During the signature process, not only is the signature image captured, but the biometric data of the signature (pressure, speed and writing direction) is also stored in encrypted form. In addition, the hash value (unique fingerprint of the document) is electronically signed and protects the document against subsequent manipulation. Two birds with one stone!

Automatic, context-related archiving in the existing SAP® archive after a successful signature is part of the entire process.

Part of the configuration is that the signatory - if required - is guided step-by-step through the document, thus ensuring that the complete safety instruction is read.

Seamlessly integrated and legally compliant

The e-sign Agent can be quickly integrated into your existing infrastructure and makes your daily work considerably easier thanks to its ease of use. As an entrepreneur or managing director, you can fulfil your responsibilities and adhere to all the necessary compliance rules.
