Payroll is a sensitive matter – whether it’s a payslip or a bonus statement – the information they contain is confidential and not intended for third parties. Paper payslips are not only an anachronism – they also offer no protection against unauthorised access.
There used to be a lot of data protection incidents and espionage - even though the payroll was handed over directly at the workplace. However, these were not mandatory to report back then.
Today, the requirements and specifications are different and our handling of sensitive personal data has changed significantly - not least because of the GDPR.
Solution
One idea - many possible solutions
With e-Sign 4, you can fully automate the encryption of digital payslips directly from within SAP and send them to staff via email in accordance with the highest security standards.
Only the sender - i.e. the HR department - and the recipient - the employee - can then read the payslip.
There are two ways to do this: once the payslip has been generated as a PDF file, it can be encrypted either using a stored password or by means of a certificate. As soon as the employee receives the protected document by email, they can open it by entering their personal password or using a certificate stored in the Windows keystore.
This ensures that only the intended recipient can access their personal payslip. Once signed, the digital SAP payslips can be sent via your mail server.
